How to extract an attendance/absence XML file from CASES21

This article gives step-by-step instructions for extracting a Student absence XML file from CASES21.


The CASES21 administrator must extract the student details from the Students -> Achievements section and select the current year and semester. eg. In Semester 1, 2012 the file that needs to be extracted is 2012.1. After the file has been created it must be provided to the Report Coordinator.


  • In CASES21 click on Students
  • Click on Achievements
  • Click on Data Imports / Exports
  • Double click Export Student Absences.
  • In the Export XML box that opens, click the Run button.
  • Click OK at the Instructions message.
  • In the window that appears:
    • In the Destination directory field, select the location where you wish to save the xml file, eg U:\CASES21\
    • Ensure that the correct year and semester are selected, eg 2021.2, and click OK.
  • If necessary, go to the location where the file was saved. It is usually named VC2021Sem2Absences.xml, with the appropriate year and semester.
  • Copy the file onto a memory stick or to a location that can be accessed while working on reports.
  • The student XML file is now ready to be given to the Report Coordinator who must import the student XML file into the Accelerus database.
